How do home daycare providers track tuition payments and expenses?

Short answer
Use three logs and one summary: charges (one line per family per week, plus registration and late fees), payments (date, family, amount, method) and expenses (date, category, vendor, amount, and whether the item is shared with your household). Balance owed per family = total charged − total paid. A monthly summary of charged, collected, expenses and net shows how the business is doing, and the shared-with-household flag gives your tax preparer what they need for the time-space percentage.
Families and tuition
- One row per family: children, weekly rate, start date, deposit held.
- A charge line every week (tuition) and for one-off fees.
- A payment line for every payment received.
- Balance owed = charged − paid. Flag families who owe, are paid up, or have a credit.
Expenses
- Categories such as food, supplies, toys, cleaning, insurance, training, advertising.
- Mark items that are used by both the daycare and your household. Home-based providers usually deduct those by a time-space percentage, explained in IRS Publication 587 (Business Use of Your Home). Your tax preparer applies it.
- Food: Publication 587 also describes standard meal and snack rates family daycare providers can use instead of actual food costs. Ask your preparer which method fits you.
Monthly routine
- Add the week's charges every Monday.
- Log payments as they arrive.
- Remind families with a balance.
- At month end, check charged vs collected and expenses.
Tools
Childcare management apps handle billing and attendance for a monthly fee; general bookkeeping apps handle expenses. A spreadsheet covers both for a small program. One option is our Home Daycare Bookkeeping & Tuition Tracker ($16 on Etsy), with family balances, a who-owes list, monthly totals and a shared-with-household column. It organizes records; it is not tax advice.
Frequently asked questions
What is the time-space percentage for a home daycare?
It is the share of your home's use that counts as business use, based on both the space used and the hours it is used for daycare. IRS Publication 587 explains it; your tax preparer calculates it.
How do I track tuition for families who pay at different times?
Charge each week on a fixed day and record payments whenever they arrive. Balance owed = total charged − total paid, regardless of timing.
Do I need separate records for food?
Keep food receipts or use the standard meal and snack rates described in IRS Publication 587; ask your tax preparer which method is right for you.
