How do owner-operators calculate cost per mile?

Updated October 29, 2026 · OrangeCell Tools · Topic: HaulMath Trucking Tools

Short answer

Cost per mile = (monthly fixed costs + monthly variable costs + driver pay) ÷ total monthly miles, counting deadhead miles in the total. Then divide total monthly cost by loaded miles to get your breakeven rate per loaded mile, the lowest rate you can accept without losing money. In the worked example below, $18,850 of monthly cost over 10,000 miles is $1.885 per mile, and $2.14 per loaded mile with 12% deadhead.

Step 1: fixed costs (per month)

Costs you pay whether the truck moves or not: truck and trailer payments, insurance, permits and plates (annual amount ÷ 12), ELD and phone, parking, accounting, and any other monthly subscription. Add them up for the month.

Step 2: variable costs (per mile)

Step 3: driver pay

Include driver pay, even if the driver is you. If you leave it out, your "profit" is really your wage, and you cannot compare loads honestly.

Worked example (example numbers, not industry averages)

ItemMonthlyPer mile
Fixed costs$5,200$0.520
Fuel ($3.80 ÷ 6.5 MPG)$5,850$0.585
Maintenance and tires reserve$1,800$0.180
Driver pay ($0.60 per mile)$6,000$0.600
Total (10,000 miles)$18,850$1.885

Step 4: breakeven rate per loaded mile

Brokers pay on loaded miles, but you pay for every mile. With 12% deadhead, 8,800 of the 10,000 miles are loaded, so the breakeven rate is $18,850 ÷ 8,800 = $2.14 per loaded mile. A load offered below that loses money before you have earned anything beyond driver pay.

Why it changes month to month

Fixed cost per mile falls as miles rise: the same $5,200 is $0.65 per mile at 8,000 miles and $0.43 at 12,000. Fuel moves weekly. Recalculate at least monthly, and whenever fuel or your insurance changes.

Tools for this

A pencil works. A spreadsheet is faster and keeps the numbers current. HaulMath, the trucking line from OrangeCell Tools, offers a free Rate Per Mile Quick Check at gethaulmath.com/free, and the full Cost Per Mile Calculator ($19 on Etsy) adds a rate check, a cost table at 7,000 to 12,000 monthly miles and a 12-month tracker.

Frequently asked questions

Should deadhead miles be included in cost per mile?

Yes. Divide total cost by all miles to get cost per mile, then by loaded miles to get the breakeven rate you quote against. Leaving deadhead out understates your costs.

Is cost per mile the same as rate per mile?

No. Cost per mile is what each mile costs you; rate per mile is what a load pays. Profit per mile is rate per loaded mile minus your breakeven per loaded mile.

How often should I recalculate cost per mile?

At least monthly, and whenever fuel prices, insurance, truck payments or your monthly miles change noticeably.
